Deposits in March, departure in September

Take the deposit now, the balance when you said you would.

Travel is paid for long before it is delivered, which is why authorisations expire, acquirers ask for reserves, and disputes arrive months later. The setup matters more than the rate.

Stored cards for balances, payment links for phone bookings, ACH for group travel.

The problem is the calendar, not the card

Travel takes money in March for a trip in September. Between those dates sits your customer right to dispute, an acquirer exposure to every unflown booking, and a card that may be replaced twice. Every payments decision in travel follows from that gap.

Why acquirers price travel carefully

If you take deposits and stop trading, the acquirer refunds every customer. That exposure is why travel merchants meet reserves more often than most, and why underwriting asks about your delivery timeline before it asks about your volume. It is not personal, and it is negotiable once you have history. Read how reserves work before the conversation.

Taking the money without breaking the booking

  1. Charge a deposit at booking, and store the card in the vault at the same time.
  2. State the balance amount and the exact date it will be taken, on the page and in the confirmation.
  3. Take the balance as a merchant initiated charge referencing the first one, so the issuer approves a payment the traveller is not present for.
  4. Email two days before you take it. Expected charges do not become disputes.
  5. Never rely on an authorisation surviving until departure. It will not.

Disputes, and the evidence that answers them

Travel disputes are usually service related rather than fraud: a change of itinerary, a cancellation policy the customer says they did not see, an amount they do not recognise months later. Keep the terms as accepted at booking, the confirmation, every change email, and the exact wording of the cancellation policy in force on that day. Our post on reason codes and representment covers which of those wins each type.

What the plugin adds

  • ✓ Deposits now and balances later, on a stored card
  • ✓ A virtual terminal and payment links for phone bookings and card changes
  • ✓ ACH for group bookings and invoiced travel, at a flat fee
  • ✓ 3D Secure 2 on the orders your rules flag, for liability on the fraud claims
  • ✓ Multiple merchant IDs where you trade under more than one brand

Seasonality and your acquirer

Travel processes unevenly. Tell your acquirer before a campaign or a season, not after a hold. An underwriter who knows a January spike is coming does not treat it as a risk event.
